This Privacy Policy explains how Linda Robbins, trading as Brightway Solutions (KVK 99630117), of Prins Frederiklaan 289, 2263 HC Leidschendam, Netherlands ("I", "me", "the Coach"), collects, uses, and protects your personal data when you visit lindarobbinscoaching.com or use my coaching services.

I take your privacy seriously and handle your data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Dutch law.

1. WHAT DATA I COLLECT

Depending on how you interact with my website and services, I may collect:

- Contact details: name, email address, phone number

- Booking information: appointment details, session preferences (via Acuity Scheduling)

- Payment information: processed securely by Stripe — I do not store your card details myself

- Intake and session information: responses to my Client Intake Form, and any session notes I choose to keep for continuity of coaching

- Website usage data: general analytics (e.g. pages visited) collected automatically via Squarespace

2. HOW I USE YOUR DATA

I use your personal data to:

- Respond to enquiries and communicate with you

- Schedule, confirm, and manage coaching sessions

- Process payments for booked services

- Provide coaching support tailored to what you've shared with me

- Meet legal and administrative obligations (e.g. bookkeeping, tax records)

- Improve my website and services

I do not sell your personal data, and I do not use it for marketing purposes without your separate, explicit consent (for example, subscribing to journal launch updates).

3. LEGAL BASIS FOR PROCESSING

I process your data on the following legal grounds:

- Contract: to provide the coaching services you've booked

- Consent: for optional communications, such as the guided journal waitlist

- Legal obligation: for financial record-keeping required under Dutch law

- Legitimate interest: to maintain and improve my website and services

4. THIRD-PARTY SERVICES

I work with a small number of trusted service providers who process data on my behalf:

- Squarespace — website hosting, basic analytics, and cookie consent management

- Acuity Scheduling — appointment booking and calendar management

- Stripe — secure payment processing

I use service providers that support the operation of my business. Where these providers process personal data on my behalf, I take reasonable steps to ensure appropriate data protection arrangements are in place.

5. INTERNATIONAL DATA TRANSFERS

Some of the service providers I use are based outside the European Economic Area (EEA), primarily in the United States. Where personal data is transferred outside the EEA, these providers rely on recognised safeguards required under GDPR, such as:

- The EU-U.S. Data Privacy Framework, and/or

- The European Commission's Standard Contractual Clauses (SCCs)

Stripe, for example, is certified under the EU-U.S. Data Privacy Framework and additionally relies on SCCs. Squarespace (which also operates Acuity Scheduling) relies on SCCs for transfers of EU data to the US. You can find more detail in each provider's own data processing documentation, linked from their respective privacy policies.

6. HOW LONG I KEEP YOUR DATA

I keep personal data only as long as necessary for the purposes described in this policy:

- Client intake forms and coaching session notes: retained for up to 7 years after our coaching relationship ends. This period reflects the general professional standard recommended by coaching industry bodies (such as the Association for Coaching) and allows for the resolution of any dispute within the applicable legal limitation period. After this, records are securely deleted.

- Financial and payment records: retained for 7 years, as required under Dutch tax law.

- Website and marketing enquiries not leading to a coaching relationship: retained for up to 2 years, then deleted.

You may request earlier deletion of your data at any time — see Section 7 below. I will honour such requests unless I have a legal obligation to retain specific records for longer (for example, financial records).

7. YOUR RIGHTS

Under GDPR, you have the right to:

- Access the personal data I hold about you

- Correct inaccurate or incomplete data

- Request deletion of your data ("right to be forgotten"), subject to legal retention requirements

- Object to or restrict certain processing

- Request a copy of your data in a portable format

- Withdraw consent at any time where processing is based on consent

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl if you believe your data has been handled improperly.

8. COOKIES

This website uses cookies — small files placed on your device to support functionality and, where enabled, to understand how visitors use the site. Cookies on this site may include:

- Essential cookies: required for the website and booking system to function correctly. These do not require consent.

- Analytics cookies: used by Squarespace Analytics to understand visitor numbers, pages viewed, and general navigation patterns. These are non-essential and require your consent before being placed.

Before any non-essential cookies are placed on your device, you will be shown a cookie banner where you can accept, decline, or manage your preferences. You can change or withdraw your consent at any time by clearing your cookie preferences in the banner or in your browser settings. Declining non-essential cookies will not affect your ability to browse the site or book a session.

9. DATA SECURITY

I take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. However, no method of transmission over the internet is 100% secure, and I cannot guarantee absolute security.

10. CHANGES TO THIS POLICY

I may update this Privacy Policy from time to time to reflect changes to my services, legal requirements, or the way I process personal data. The "Last updated" date at the top of this page shows when the policy was most recently revised. Where appropriate, I will take reasonable steps to notify you of significant changes.
